Large gatherings are synonymous with Outside Events. We bring people together – local, national and international. Becoming an exhibitor means that cyclists, friends, families and festivarians will be able to see, touch and experience your products. What better way to build brand loyalty and fly your flag?

Event Cancellation Process
Should an event be cancelled due to unforeseen circumstances that are beyond our control, the following options will be made available to exhibitors:
- Move to the rescheduled date: If the event is rescheduled for a later date in 2022, the exhibitor simply moves with the event.
- Transfer to a different 2022 event: If the exhibitor cannot accommodate the new event date, they may transfer to one of the other rides in our 2022 Cycling Series. If applicable, vendors will receive a partial refund or pay the difference in price.
- Defer to a 2023 event: If an exhibitor is unable to find a 2022 event that works for their schedule, the exhibitor may defer their application to the same event next year (excluding Elephant Rock Ride).
- Refund: If an exhibitor is absolutely unavailable to reschedule, transfer or defer their application, a refund will be provided less administrative / processing fees.
Insurance: All exhibitors need to provide proof of insurance one week prior to the event. If you do not submit paperwork by the stated deadline you will not be permitted to exhibit.
Sprinter Vans: If you wish to have a sprinter van with your 10×10 tent, you must pay the 10×20 space rate. In the notes section of the registration form, please share if you will be using a 10×10 + a sprinter van. If you plan to only use a sprinter van as your “booth”, you may pay the 10×10 fee. You must note this in the comments section as well.
Tables, Chairs and Tents: Each booth space comes with 1 table (8-foot table) and 2 chairs. Please make a comment in the note section of your registration form if you are bringing your own tables and chairs so we may plan accordingly. We do ask that you bring a tent. If you need a tent, we are happy to have one delivered for you at the cost of $125 per 10×10 tent.
Tent Weights: Just a friendly reminder that all tents must be weighted down properly. Please secure each leg with at least a 30-pound weight.
Lunch: If you would like to purchase a meal ticket, please do so when filling out your registration form. Meals are $15.
